How to launch a school group trip
1. Book a meeting
Speak with our Partnerships Team to discuss your school’s goals, subject focus, and ideal destination. We’ll help you design the perfect itinerary for your students.
2. Secure leadership or school board approval
We’ll provide a full Teacher Handbook, detailed risk assessments, and everything required to meet your school’s compliance and safeguarding processes.
3. Launch your school trip
We’ll support your in-school launch with parent and student presentations, promotional materials, and a dedicated booking platform (if you wish) for your students to sign up.
4. Pre-departure support
One of our dedicated Destination Experts will guide you and your students every step of the way - right up to departure.

Opportunities for individual students
Outside of our group trips, we also offer students aged 15–18 the opportunity to join our High School Specials programs - structured, fully supported trips where they travel with peers their own age. Students can sign up individually, without the school needing to organise a group.

When should we start planning?
We recommend 12-18 months ahead to secure the best dates, pricing, and flight options, and give your students adequate time to fundraise and prepare.
Do teachers travel free?
Yes - we include one free staff place for every nine students booked, along with full pre-trip support.
What about insurance and medical preparation?
We provide medical and travel insurance in all our group programs, as well as guidance on vaccinations and health requirements for your chosen destination.
How do you ensure safety abroad?
All destinations have on-the-ground Projects Abroad staff, trained first-aiders, emergency plans, and close partnerships with local authorities. Read more about our Safety & Backup.
Are Projects Abroad a Learning Outside the Classroom Quality Badge holder?
Yes, we are. We are holders of the LOtC Quality Badge through the Expeditions Providers Association (EPA). Our certification number is 104537. Our Quality Badge certificate can be found by searching for us by name on the LOtC website.
Can Projects Abroad assist with flights?
Yes, we can provide you with a guaranteed flight quote once you have provided us with your estimated trip dates and preferred departure airport.
What are the Projects Abroad staffing ratios in-country?
Projects Abroad has a staffing ratio of 1 Projects Abroad staff member for every 8 students.
What payment options are available?
We have flexible payment plan options for groups. Students/parents can apply and pay directly with Projects Abroad to save on the administrative burden from the school's perspective. Alternatively, we can invoice the school as a whole group booking, with students/parents paying via the school. Just let us know which option you prefer.
Are your programs ethical?
Yes. All our programs are built around the UN Sustainable Development Goals, and you can see the measurable outcomes in our latest Impact Report. Each program follows long-term plans created with the local communities we partner with, ensuring that even short-term student contributions support sustainable, ongoing work.
What’s included in the cost?
Our pricing covers everything your school group needs for a safe, smooth, and supported trip.
This includes accommodation, three meals a day, drinking water, full in-country transport, 24/7 support, free teacher places, travel and medical insurance, all activities and excursions, project training and materials, a Projects Abroad T-shirt, pre-departure support, presentations for your parent and student community, and fundraising guidance.
Optional add-ons: group flights, reflective journals, and courses with our school of record for additional pre-college credits.
Not included: visas and vaccinations.
What is the role of the teacher on a trip?
Our staff manage all project activities, logistics, health and safety, and day-to-day coordination. Teachers primarily provide pastoral support to their students and help ensure school expectations are upheld.
We generally recommend one teacher or chaperone per 10–15 students, but this can be adjusted based on your group and destination.
What does a typical day look like?
On all our programs, students are active participants - not observers - engaging in experiential learning that connects them directly with local people, environments, and issues. Activities vary day by day and depending on the program type, but each trip will bring a mix of learning through lectures, workshops, and hands-on project work; authentic cultural engagement with local communities; fun evening activities like soccer games and dance lessons; and plenty of time to explore their surroundings - from beach visits to shopping at the markets.
What is your cancellation policy?
For Groups and Partnerships (including participants booked through schools, universities, or other institutions)
- The deposit is non-refundable in all circumstances.
- Notice of 3 months or more before departure: 70% of all balance payments will be refunded.
- Notice of 2–3 months before departure: 50% of all balance payments will be refunded.
- Notice of 1–2 months before departure: 20% of all balance payments will be refunded.
- Notice of less than one month before departure: All balance payments are non-refundable.

Is there a minimum / maximum duration? And can we choose our travel dates?
We design each program to fit your school’s needs. You can choose dates and trip length, and we’ll work with you to create an itinerary that aligns with your learning goals and schedule.
Are there any group size requirements?
School group trips typically start from 10 students. There is no set upper limit for most trips, but there may be some individual projects or placements that can only accommodate a certain capacity. We regularly accommodate large groups of 40+ and 50+. The most common group size is typically between 20-25 students.
Are there any age requirements?
Our programs are suitable for high school students, grades 9-12.
How much do trips cost?
Prices vary depending on destination, activities, and group size. For a typical two-week programme, prices start from $2265 per student (not including flights). This pricing also includes one free staff place for every nine travelling students.
Do you have programs for individual students?
Yes. Our High School Specials are designed for independent travelers aged 15-18. Students join a structured group led by our staff and explore a project alongside peers from around the world.
Can you support fundraising?
Many school groups choose to fundraise some or all of their trip costs. Our team are happy to provide fundraising advice and we also provide our Fundraising Guide for all students, offering practical ideas and advice to help them reach their goals.
Will you support with recruitment of students?
Yes! We will provide you with flyers, digital resources, and a bespoke school trip webpage that will help get the word out to students, parents, and guardians.
